Property management accounting involves large volumes of information. Many of the accounting tasks are repeated each and every month.
The speed with which a computer system can process these high-volume, repeatable tasks directly affects the profitability of every property management firm. Staff costs are a large part of management expenses so it is vital that required tasks can be performed quickly.
To demonstrate the efficiency of ConStar 2000, we have run a sequence of timed tasks.
The demonstration database is made up of 300 separate condominium corporations. Each corporation has its own set of data files. In total, there are 135,000 individual units in these 300 corporations.
Each of these tasks was run on one computer and was initiated by the click of one button, by one person.
Task # 1
Post the monthly charges against each unit account and update the general ledger. Each unit has 2 charges; a maintenance charge and a parking charge. The results:
270,000 accounts receivable transactions generated (2 per unit)
1,200 general ledger transactions generated (4 per corporation)
Time required: 13 minutes or 2.6 seconds per corporation
Task # 2
Prepare a data file of the pre-authorized payment information to be sent to a bank at the beginning of a month. Our database has 103,500 pre-authorized payments, or 76.67% of the total number of units. The results:
103,500 payments exported into one data file
Time required: 1 minute 42 seconds or .34 seconds per corporation
Task # 3
Apply pre-authorized payments and post-dated cheques to the individual units accounts and update the general ledger. Our database contains 103,500 pre-authorized payments and 14,400 post-dated cheques. Both payment types are processed simultaneously. The results:
117,900 accounts receivable transactions generated
1,200 general ledger transactions generated
Time required: 21 minutes and 22 seconds or 4.27 seconds per corporation
Task # 4
Prepare bank deposit slips. The database contains 14,400 post-dated cheques that were cashed by task # 3 above. A separate deposit slip is created for each of the 300 corporations. The results:
Time required: 3 minutes and 2 seconds or .61 seconds per corporation
Please note that this is the time it took to write the reports to the print queue. The actual print time is NOT included and varies depending on the model of the printer.
